Context

The Quality & Compliance Officer will ensure the data accuracy, integrity through regular checks, date protection, and privacy.

Missions/Main Duties

QUALITY MANAGEMENT SYSTEM (QMS) SUPPORT

  • Assist in the preparation, updating, and review of quality policies, processes, and procedures in line with ISO 9001:2015 standards and SYSTRA Group Quality policies.
  • Support the Quality Manager in ensuring the effective implementation of the QMS across all areas of the business.
  • Contribute to the identification and resolution of quality-related issues and non-conformities.
  • Maintain and update quality records and documentation as directed by the Quality Manager.

COMPLIANCE & INTERNAL CONTROLS

  • Support the Quality Manager in monitoring compliance with internal policies, procedures, and external regulations.
  • Assist in the preparation and coordination of internal and external audits, including supporting the management of non-conformities and corrective actions.
  • Help maintain a register of compliance obligations and monitor their status.
  • Handle confidential information with discretion and professionalism in line with compliance requirements.

DATA QUALITY & GOVERNANCE

  • Ensure data accuracy and integrity through regular checks.
  • Implement data protection and privacy measures in line with company policies and regulations.
  • Develop and implement data governance frameworks.
  • Establish and maintain reporting/documentation standards related to data quality.
  • Collaborate with other departments on data governance alignment

DOCUMENT CONTROL, DIGITAL TRANSFORMATION & OPERATIONAL SUPPORT:

  • Manage and control company documents and records, ensuring version control and accessibility.
  • Administer SYSTRA ANZ SharePoint Sites (including access, permissions and archiving of documents and records) and ensure consistency of SharePoint and data architecture across the organization
  • Maintain and update the intranet and SharePoint, including managing folder structures and user permissions to ensure accurate and timely information.
  • Effectively utilise SharePoint for document storage, workflow management, and digital transformation initiatives.
  • Manage document workflows and access control in SharePoint.
  • Provide support for structuring and organising operational and quality-related data.
  • Provide support during bid and project launch phases by reviewing completeness and compliance of requests and assisting with project creation, updates, and timesheet entries in project management tools
  • Coordinate, schedule, and support project review and portfolio review meetings, including agenda preparation, minute-taking, and follow-up actions.
  • Plan, prepare and maintain Operations dashboards, and ensure timely issue resolution.
  • Assist in implementing and revising project steering processes and project review processes for continuous improvement.

TRAINING & AWARENESS

  • Assist in developing and delivering quality, compliance, and operational induction training materials to staff, as guided by the Quality Manager.
  • Provide training on data quality and compliance best practices.
  • Provide support for staff inductions on operational systems and tools.
  • Promote a culture of quality, operational excellence, and continuous improvement within the organisation.

REPORTING

  • Prepare regular reports, briefings, and communications related to QMS performance, compliance status, and key quality and operational metrics, for review by the Quality Manager.
  • Plan, prepare and maintain Operations dashboards, and ensure timely issue resolution.

CONTINUOUS IMPROVEMENT

    • Actively participate in and support continuous improvement initiatives related to quality, compliance, and operational processes, leveraging digital tools and methodologies.
    • Encourage and contribute to initiatives to optimise organisational performance, manage continual improvement of business activities, and support operational efficiency

Profile/Skills

EDUCATION

Tertiary qualification in a relevant field (e.g., Business Administration, Quality Management, Engineering).

 

EXPERIENCE

• Demonstrated understanding of ISO 9001:2015 QMS and strong compliance orientation, with at least 2 years’ experience in quality assurance, compliance, or operational support roles.

• Proficient in using SharePoint for document and records management to support both quality and operational objectives.

• Well-organised, meticulous, and analytical, with advanced skills in Microsoft Office Suite to efficiently manage data and operational tasks.

• Ability to manage multiple tasks and projects simultaneously with a high level of accuracy.

• Excellent written and verbal English communication skills for a remote team environment.
